The Bid Coordinator is responsible for managing the preparation, coordination, and delivery of accurate, high-quality bid submissions within set timelines. The role supports the National Team in broader business opportunities aligned with the company’s strategic growth objectives. Additionally, the Bid Coordinator provides general business support by producing clear, concise written documents and communications that adhere to company guidelines and maintain a professional standard.

 

 

DUTIES & RESPONSIBILITIES:

 

  • Coordinate the entire bid/tender process from inception to post-completion, including client communications related to the project
  • Develop comprehensive project plans and coordinate workflows to ensure all bids align with internal processes and manage timelines, meetings, briefings, site visits, and registrations.
  • Ensure compliance, accuracy, and quality of tender content.
  • Adhere to strict timelines, ensuring 100% compliance with due dates for all submissions.
  • Ensure content is concise, focused on key win themes, and aligned with client requirements.
  • Prepare and format professional proposal or sales documents and communication materials, including tender responses, client letters, presentations, and capability statements.
  • Create visually appealing, professional and accurate materials with appropriate design and content.
  • Liaise with project sponsors and collaborate with managers, operations teams and subject matter experts across states or market segments to gather input and meet business objectives.
  • Help develop and maintain a central library of case studies, CVs, templates, and reusable content for efficient and high-quality bid production.
  • Work closely with senior leadership and be a key player in the business growth strategy.

 

 

 

WHO WE ARE LOOKING FOR:

 

  • Experience in tender/proposal coordination (Min 2 years in similar role)
  • Excellent writing, communication and document formatting / editing skills.
  • Excellent communication skills with the ability to work collaboratively across teams.
  • Advanced proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.
  • Effective time management and prioritisation abilities to thrive in a fast-paced, deadline driven environment.
  • Strong administrative and organisational skills with strong attention to detail.
  • Exemplary PowerPoint skills to produce high-calibre, client-ready presentations (highly regarded).
