Job Description
Job Title:  RTO Coordinator
Posting Start Date:  20/08/2026
Job Description:
  • Full time or Part time (minimum 4 days per week)
  • Belmont office location
  • Previous experience in an RTO or vocational education environment is highly desirable

Wilson Medic One is looking for an organised, capable and proactive RTO Coordinator to join our training team.

This is a hands-on coordination role for someone who enjoys making things work. You'll take ownership of the day-to-day operational requirements of our RTO including keeping training schedules on track, maintaining accurate records, coordinating key RTO processes and making sure the details don't get missed.

You'll work closely with our Training Manager, Student Services, and Trainers and Assessors in a small, collaborative team.

What you'll be doing

  • Coordinating our training calendar, trainer allocations and training facilities
  • Keeping a close eye on upcoming courses and making sure we're ready for delivery
  • Maintaining accurate records in aXcelerate and associated systems
  • Coordinating student completions, certification, withdrawals and cancellations
  • Coordinating Credit Transfer and RPL administration
  • Maintaining trainer and assessor records and documentation
  • Supporting AVETMISS, NCVER and other RTO reporting activities
  • Coordinating validation schedules and industry consultation records
  • Monitoring deadlines and identifying missing or incomplete requirements
  • Supporting quality assurance, audit preparation and continuous improvement
  • Identifying opportunities to make our systems and processes work better

About you

We're looking for someone who is highly organised, comfortable taking ownership and good at seeing what needs to happen next.

You'll be someone who:

  • Can manage multiple priorities without losing track of the detail
  • Takes responsibility for getting things finished
  • Is confident working with systems, databases and Microsoft Office
  • Communicates clearly and works well with different people
  • Can spot a problem, work through it and know when something needs to be escalated
  • Enjoys improving processes rather than accepting “that's how we've always done it”

Previous experience in an RTO or vocational education environment is highly desirable. Experience with aXcelerate and knowledge of AVETMISS, certification, Credit Transfer, RPL or validation processes would be particularly valuable.
